Architecture, Engineering and Construction (AEC) is seeking qualified applicants for an Administrative Assistant Intermediate position with AEC's Project Management team.
AEC endeavors to provide outstanding customer service and is committed to completing projects on time, within budget, and in a safe manner. We manage projects of all sizes from new buildings to additions, renovations, alterations and cosmetic improvements. Our interior design services enhance the function and quality of the interior environment through space planning and finish selections including furniture, carpet and window coverings.
Collects, organizes, and compiles and enters data for assistance in moderately complex master planning support. This includes composing correspondence as well as proofreading and editing work of other planning staff.
Schedule meetings and events for campus planning, coordinate hosting and maintain complex calendar of Campus Planner.
Assist in the preparation of presentations to campus stakeholders, meeting agendas, minutes and correspondence prior to and following projects meetings.
Assist in the creation of planning and design studies (drawings, renderings, models, preliminary costs)
Coordinate reviews for planning committee meetings, including tracking agenda items, coordination with committee members, coordination with meeting proposal, and documenting decisions for CP records and communication of decisions with applicants.
Set up and manage filing systems for campus planning, record information, update paperwork, and maintain project files.
Answer telephone and greet department visitors - provide information, take accurate messages, or redirect as appropriate. Provide backup for other members of the support team as needed.
High School diploma or associates degree, including courses in business practices, or an equivalent combination of education and experience.
Three to five years administrative office experience.
Excellent written and verbal communication skills.
Ability to exercise independent judgment and employ basic reasoning skills.
Ability to multi-task and set priorities.
Ability to work under pressure.
Must be detail-orientated, accurate and able to work independently, as well as in a team effort.
Proficiency with Electronic calendar scheduling (e.g., Google), MS Word, MS Excel, and M-Pathways.
